WEDDING INDUSTRY SUPPLIERS
When a third-party wedding supplier requests access to a client gallery using our formal submission forms, we collect their Business Name, Contact Name, Email Address, Website URL, and Social Media/Instagram usernames. We use this information solely to manage gallery authorisation, track data-sharing permissions, and enforce our client data privacy requirements.
3. HOW AND WHY WE USE YOUR PERSONAL DATA
We only use the information you submit via our contact form to respond to your specific enquiry and provide you with the information, brochures, or quotes you have requested.

Under the UK GDPR, we rely on the following legal reasons to process your data:

4. HOW WE FOLLOW UP WITH YOU (OUR PROCESS)
When you submit a request, we will email you the requested brochure. Following this, we will send a maximum of three (3) follow-up emails to see if you would like to proceed with booking us.
If we do not hear back from you after these follow-ups, we will cease communication.
5. SHARING YOUR DATA
We respect your privacy. We do not sell, rent, or share your personal data with any third parties for marketing purposes. How we handle your data depends on whether you are inquiring or have booked with us:
A. For Enquiries & Leads (Unbooked)

B. For Booked Couples (Images & Galleries)
Once you book us, we only share your images under the following strict conditions:

Wedding Industry Suppliers: With your explicit consent, we may share links to your unlisted online Pic-Time gallery or send specific high-resolution images to other professional suppliers involved in your wedding day (such as your venue, florist, makeup artist, or planner) for their own portfolio or promotional use.
- Consent-Based: We will never pass these images to other suppliers without your active opt-in consent (which we gather via our pre-wedding questionnaire). You maintain the right to withdraw this consent at any time. If consent is withdrawn, we will instantly restrict vendor access, notify any suppliers who downloaded the files, and legally order them to remove the images from their public platforms within 48 hours.
C. Our System Security
Your data is only stored within our secure email systems, gallery hosting platforms (such as Pic-Time), and our secure customer management software. We routinely audit our software providers to ensure they comply with the UK GDPR and maintain high standards of data security.

If you book our services: We retain your contract, financial records, and core contact details for a minimum of 6 years to comply with UK statutory tax and accounting laws. As detailed in our client contract, we aim to retain final edited JPEGs and maintain an active online gallery profile long-term as a complimentary file-recovery service under our legitimate commercial interests.

Please note: This long-term archiving is a discretionary, non-contractual courtesy service. It does not constitute a legal guarantee of permanent storage. We are not liable for any subsequent file loss, media corruption, deletion, or platform outages. We strongly advise all clients to download and make their own permanent backups immediately upon initial gallery delivery. You maintain the right to request the permanent deletion of these archives at any time by contacting us.
